How do I extract pupil and teacher data from SIMS .net?

SIMS .net (School Information Management System .net) is a system used to store information about pupils and teachers. In order for KnowledgeBox engineers to efficiently create teacher and pupil logins on the KnowledgeBox server, an electronic list of names is required on the day of installation. Such a list can easily be exported from SIMS .net.

N.B. Any pupil and teacher information used by engineers will be treated in complete confidence and will not be used for any purpose other than to create the login accounts.

  1. Open SIMS .net
  2. Select Reports | Design
  3. In the Report Designer window click ‘Open an existing report’.

  4. On the left panel, navigate to Focus | Student and select ‘School List by Reg Group’ from the right hand panel.

  5. In the Retrieve Data Area window click ‘Next’.
  6. In the Select Data Field window click ‘Next’.
  7. In the Apply Filter window click ‘Next’.
  8. In the Define Sort Order window click ‘Next’.
  9. In the Define Presentation window, select Excel from the list and ensure that the check box ‘Go straight to Print Preview’ in the right panel is unchecked. Then click Next.

  10. In the Design Complete window click ‘Run My Report’.
  11. In the Enter Parameter Values For Report window ensure the check boxes are completed as shown below. Then click OK.

  12. Your report will now open in Excel. Select File | Save As.
  13. Insert a floppy disk, navigate to the A: Drive (3½ Floppy Drive), select comma separated files (csv) as the file type and save the file with a relevant name (e.g. Pupils).

  14. Click Yes to the following warning message if it appears.


Teacher data can be extracted in a similar way by selecting an existing staff report from the right hand panel in Step 4 containing the full christian names and surnames of all teaching staff.
