How do I extract pupil and teacher data from SIMS?

SIMS (School Information Management System) is a system used to store information about pupils and teachers. In order for KnowledgeBox engineers to efficiently create teacher and pupil logins on the KnowledgeBox server, an electronic list of names is required on the day of installation. Such a list can easily be exported from SIMS.

N.B. Any pupil and teacher information used by engineers will be treated in complete confidence and will not be used for any purpose other than to create the login accounts.

There are two methods of extracting the data.

Method One:

  1. Double click on the SIMS Launcher icon on the desktop.
  2. Launch the STAR module by clicking on the ‘STAR’ icon.

  3. Select Reports | Pupil | Alphabetical.

  4. You will now see the Report Criteria window. Check that the view is for current pupils and that the date is correct. Click OK.

  5. A report will now be generated showing all the pupils in the school in alphabetical order. Click on the Export Data button (Floppy Disk Drive Symbol).

  6. Insert a floppy disk, navigate to the A: Drive (3½ Floppy Drive), select comma separated files (csv) as the file type and save the file with a relevant name (e.g. Pupils).

Teacher data can be extracted by selecting Reports | Staff in Step 3, then selecting a relevant staff report and following the same steps as for pupils.

Method Two:

  1. Click on the icon 'RepGen Lite' in the SIMS Launcher Module window. This program allows you to choose a query of the school database. Normally there are two options built in called Teachers and Pupils. Select either one of these queries.
  2. Click on the print button at the top, then click OK.
  3. A list will be displayed of respective groups, normally with first name, second name, title etc. Click on output and choose the option to output to a file.
  4. Insert a floppy disk, navigate to the A: Drive (3½ Floppy Drive), select comma separated files (csv) as the file type and save the file with a relevant name (e.g. Pupils).
